Electronic Submission Upload Policy
Please read the following information carefully before uploading any files to the application site. Applicants are responsible for making sure all files are in a format that can be downloaded and read by UC MEXUS, CONACYT, and members of the review committees.
Our offices have Windows 98, and we use MS Office 2000. We will only accept files that are formatted for a PC as a Word document (*.doc), WordPerfect for Windows 5.0 or higher (*.wpd), rich text or text only files (*.rtf or *.txt), or Adobe Acrobat Portable Document Format (*.pdf). Keep your files as small as possible; we will not accept files over 5 MB.
1. Before uploading, prepare your files.
Since your files will be located in a single directory on our server, place them all in one folder on your computer to check for duplicate names.
Check all the filenames. They should not contain any spaces or punctuation signs, only letters, numbers, and underscores ( _ ). Make the filenames explicit, i.e., avoid vague names such as "text2.doc" or "document.txt." Your files can be more than 8 characters long.
Examples of valid filenames: bibliography_info.doc, curriculum_vitae02.txt, projectplan8.wpd
Examples of non-valid filenames: text.doc, customer’s comments.doc, welcome, #articles and ref.xls
Remember that your files should also have a "file extension:" a period dot followed by 2 or 3 letters that describe what technical format it is (e.g., *.doc, *.txt). Your system may include the file extension automatically.
Avoid unusual fonts or symbols. We cannot guarantee that they can be read by our offices or the reviewers. Suggested standard fonts are Times New Roman, Arial, Garamond, or Courier New.
Be careful about licensing and copyrights. We do NOT accept sounds, images, or movies ('useful' artwork or graphics in *.pdf are welcome, however, if they do not exceed the 5 MB maximum). Uploaded files that appear to be in violation of a copyright will be deleted, and the application will not be accepted.
2. Once you have prepared your files, upload them to your online application.
Click on "create" or "edit" on the checklist item of the file you wish to upload (e.g., project plan, bibliography, curriculum vitae, or attachments). Click on "Browse."
At the bottom of the pop-up window where it reads "files of type," select "all files" (*.*) or one of the accepted formats listed above.
Find your proposal’s file folder in the main window and select the file. Click on "Open" and then, in the application site page, on "Upload," or double-click on the file itself and then on "Upload." Your uploaded file will be listed below under "Status."
3. Click on "View Application" to double-check which files you have uploaded.
If you have uploaded the wrong file by mistake or wish to replace it with another before submitting your application, simply repeat the process above and the old file will be overwritten by the new one. Please note that only one file can be uploaded to each checklist item. In the case of curriculum vitae, only one file can be uploaded for each participant.
